We have designed a new multi-phased process utilizing DocuSign and our Document Management system, Perceptive Content, to reduce the onboarding process from weeks to potentially less than 24 hours, hence saving the university money by reducing paperwork and collecting all signatures electronically, and also weeks of labor cost to manually enter the data into UCPath System. In Phase 1 of the project, the amount of time between final signature by a new employee and data entry into the UCPath system is now less than 1 hour and could be as fast as 10 minutes. Additionally, the amount of paper and labor to print and organize all those documents and connect them with the newly minted EID will be reduced to zero thus saving the UC System hundreds of thousands of dollars in paper, electricity and labor cost. Finally, since Perceptive Content is a P4 Compliant system, the documents will be archived or purged as per policy in the system hence improving data security. No more filing cabinets.

Vahid is the Data Systems Manager at UC Berkeley, where he leads the Information Management & Workflow team within the Campus IT Experience department of Berkeley IT. Since joining UC Berkeley in 1999 as a Programmer Analyst, he has been dedicated to improving campus-wide digital workflows and information services. His team supports essential platforms, including the campus document management system, survey tools, and eSignature services. Before joining Berkeley, Vahid worked as a programmer in the private sector in Toronto, Canada. His combined experience in academic and corporate environments informs his strategic and user-centered approach to IT systems. In 2011, his team received the Sutter Gold Award for their work on the Visiting Scholar and Postdoc Affairs project, a recognition of their innovation in supporting academic administration. Outside of work, Vahid enjoys cooking, biking, traveling, and spending time outdoors.

Colette Arreguin is a Project Policy Analyst II at UC Berkeley with over 10 years of service. As a member of People & Culture’s Central Services Team, she leads campus-wide efforts to maintain and improve Background Check and Form I-9 compliance and reporting. Colette also plays a key role in using technology-driven solutions--including extensive use of Smartsheet and DocuSign--to streamline administrative workflows and ensure data integrity. Colette is co-presenting “Re-Imagine Hiring New Employees,” a project focused on accelerating the processing timeline for new hires and on reducing the administrative burden of hiring large numbers of staff and student employees. She holds a BA in Psychology with a minor in Speech Communications from San Francisco State University. A proud Bay Area native, Colette enjoys spending her free time with her two dogs, Bagel and Latté.
