Utilizing our EHR Recruitment Manager (EHRMa) SalesForce platform, the Participant Recruitment Program at UCSF has sent out over 100,000 recruitment request to patients in just the last year. Our teams have spent the last 5 years building, using, and refining this platform to allow multi-channel (SMS, email, MyChart, and letter) outreach to potential research participants. The platform uses study-specific inclusion/exclusion models and platform-level business rules to identify potential participants, and provides de-identified demographic summaries to support equitable and transparent recruitment. We hope to share our technical strategy, operational process and challenges, and lessons learns from implementing our impactful and robust recruitment platform.

Jory Purvis is the Technical Lead for the APeX (Epic) Enabled Research Team at the University of California, San Francisco. He and his team support the full research project lifecycle—from initial study design, scoping, and budgeting to grant submissions and ongoing implementation. Their work includes developing innovative Epic configurations, supporting multi-site study implementations, and enabling external system integrations to advance clinical research across institutions.
